We do not sell, rent, or monetize athlete health data.All athlete records, SCAT6 baseline information, and Rowan's Law sign-offs are accessed solely by authorized school or club administrators for athletic clearance purposes.

1. Overview & Scope

IQClearance acts as a software platform and Service Provider (Data Processor) for educational institutions, athletic associations, sports leagues, and healthcare providers (such as Athletic Trainers). This Privacy Policy applies to all services provided under the iqclearance.com domain and associated web applications.

2. Information We Collect

To automate athletic clearances and enforce digital Return-to-Play protocols, we collect and process the following categories of data provided directly by institutions or user entries:

  • Administrative & Contact Details: Name, professional email, role, institution name, phone number, and account access credentials.
  • Athlete Clearance & Health Data:SCAT6 baseline metric tracking logs, digital Rowan's Law acknowledgement confirmations, concussion history timestamps, and Return-to-Play clearance status updates.
  • Technical Log Data: Audit log records (IP addresses, user action timestamps, browser type) maintained strictly for legal accountability and platform security auditing.

We process collected information strictly to fulfill our contractual and administrative obligations to subscribing athletic organizations:

Automation & Clearance

Generating real-time clearance status dashboards for athletic directors and safety staff.

Legal Compliance

Verifying compliance with statutory protocols such as Ontario's Rowan's Law regulations.

Audit Documentation

Maintaining accurate, timestamped Return-to-Play logs to safeguard organizations and athletes.

Security & Integrity

Detecting unauthorized access attempts and verifying institutional authorization levels.

4. PIPEDA & Health Data Protection

IQClearance is designed in accordance with Canadian data privacy frameworks, including the Personal Information Protection and Electronic Documents Act (PIPEDA)and applicable provincial health privacy standards (such as Ontario's PHIPA).

  • No Advertising Profiles: We do not build user behavioral profiles or serve third-party advertisements.
  • Role-Based Access Control (RBAC): Access to sensitive student-athlete records is restricted exclusively to authorized institutional administrators and verified health professionals.

5. Data Sharing & Security Architecture

We enforce technical and organizational safeguards to protect institutional datasets:

Encryption Standards: All data transmitted to and from IQClearance is encrypted using Transport Layer Security (TLS 1.3). Datasets stored at rest utilize AES-256 bit encryption.

Infrastructure Partners: Data is hosted within enterprise-grade data centers offering ISO 27001 and SOC 2 Type II certified compliance guarantees.

6. Retention & Organizational Rights

Subscribing athletic organizations retain complete ownership of their administrative records. Upon institutional request or contract termination, IQClearance provides structured data exports and safely purges archived records according to agreed-upon compliance retention windows.
